Creating Your Account
Welcome to PioneerChat! Setting up your account is quick and simple - it should take no more than 2-4 minutes. This guide will walk you through the process.
Important: You must complete both the password setup and 2FA setup steps before you can log in. If you leave setup mid-way through, you may be locked out of your account. We recommend completing all steps in one session.
Step 1: Receiving Your Invitation
When your account is created, you will receive an email from info@pioneer-ai.co.uk with the subject line: "PioneerChat - your account has been created".
This email contains:
- A secure link to set up your account
- Your username (typically in the format
COMPANY-XX001) - A temporary password for first-time login
Note: The setup link is valid for 7 days. If it has expired, please contact your IT administrator or email info@pioneer-ai.co.uk.
Step 2: Setting Your Password
Click the link in your email to open the login page. Enter your username and temporary password to proceed.
You will then be prompted to create your own password. Your new password must meet the following requirements:
- At least 8 characters long
- Contains at least one uppercase letter (A-Z)
- Contains at least one lowercase letter (a-z)
- Contains at least one number (0-9)
- Contains at least one symbol (!@#$%^&* etc.)
Tip: Use a passphrase that's easy to remember but hard to guess. For example: Coffee@Morning2024!
Step 3: Setting Up Two-Factor Authentication
After setting your password, you will immediately be directed to set up two-factor authentication (2FA). This is mandatory for all users and adds an important layer of security to your account.

Step 4: Logging In
Once your account setup is complete, you can log in at any time:
- Navigate to your organisation's PioneerChat URL
- Enter your username and password
- Enter the 6-digit code from your authenticator app
- You'll be taken directly to the PioneerChat homepage
Troubleshooting
Link has expired
If your setup link has expired (after 7 days), contact your IT administrator to request a new invitation email.
Forgot your password
Use the "Forgot Password" link on the login page, or contact your IT administrator for assistance.
Account locked
After multiple failed login attempts, your account may be temporarily locked. Wait 15 minutes and try again, or contact your IT administrator.
