Managing Two-Factor Authentication

Two-factor authentication (2FA) is mandatory for all PioneerChat users. This guide covers common scenarios for managing your 2FA setup.

Note: 2FA cannot be disabled on your account. This security requirement protects both your data and your organisation's information.

Getting a New Phone

If you're switching to a new phone, plan ahead to maintain access:

Option 1: Use Cloud-Backed Authenticator

Some authenticator apps sync across devices:

  • Microsoft Authenticator - Backs up to your Microsoft account
  • Authy - Syncs across all your devices
  • Google Authenticator - Can export/import accounts

With these, your PioneerChat 2FA transfers to your new device automatically.

Option 2: Request 2FA Reset

If you can't transfer your authenticator:

  1. Contact your IT administrator before losing access to your old phone
  2. They can reset your 2FA
  3. You'll set up 2FA again on your new device at next login

Lost Phone or Authenticator Access

If you've already lost access to your authenticator app:

  1. Contact your IT administrator immediately
  2. Verify your identity through your organisation's process
  3. They will reset your 2FA
  4. Log in and set up 2FA on your new device

Important: For security reasons, 2FA resets require identity verification. Your IT team will follow your organisation's security procedures.

2FA Codes Not Working

If your 2FA codes are being rejected:

Check Your Phone's Time

TOTP codes depend on accurate time. Ensure:

  • Your phone's time is set to automatic
  • Time zone is correct
  • Date is accurate

Even a few seconds of drift can cause codes to fail.

Use the Latest Code

Codes change every 30 seconds. If the timer is almost expired, wait for the next code.

Correct Account

If you have multiple accounts in your authenticator, ensure you're reading the code for your PioneerChat account.

Multiple Devices

To access PioneerChat from multiple devices (e.g., phone and tablet):

  • You only need 2FA set up on one authenticator app
  • Use that app to generate codes when logging in from any device
  • You don't need the authenticator on every device you use PioneerChat

Security Tips

  • Don't screenshot QR codes - They can be used to clone your 2FA
  • Secure your phone - Use a PIN/biometric lock
  • Report lost devices - Tell IT immediately if your phone is lost/stolen
  • Back up your authenticator - Use an app with cloud sync if possible
