Document Analysis

PioneerChat uses advanced document analysis to understand, search, and extract information from your uploaded files using semantic search technology.

How Document Analysis Works

When you upload a document and ask questions about it, PioneerChat:

  1. Reads the document - Extracts text from PDFs, Word docs, spreadsheets, and presentations
  2. Understands the content - Creates semantic representations of the text
  3. Searches intelligently - Finds the most relevant passages for your question
  4. Generates answers - Uses the relevant content to provide accurate responses

This approach means the AI can find relevant information even if you don't use the exact words from the document.

Document Capabilities

Summarisation

Get concise summaries of long documents:

[Attach document] "Provide a brief summary of this document"

You can request different summary types:

  • Executive summary - High-level overview for quick reading
  • Detailed summary - More comprehensive coverage of key points
  • Topic-specific summary - Focus on particular aspects

Information Extraction

Pull specific information from documents:

"What are the payment terms in this contract?" "List all the action items from these meeting notes" "Find all dates and deadlines mentioned in this project plan"

Question Answering

Ask specific questions about document content:

Working with Different File Types

PDFs

  • Text-based PDFs work best
  • Scanned PDFs with clear text are supported via OCR
  • Complex layouts (multi-column, tables) are handled

Excel Spreadsheets

Tips for Best Results

Tip: Be specific about what you're looking for. "What does section 4.2 say about liability?" will give better results than "Tell me about liability."

Ask Focused Questions

Instead of broad questions, ask about specific topics:

  • Broad: "What does this document say?"
  • Focused: "What are the three main recommendations in section 5?"

Reference Document Sections

If you know the structure, reference specific parts:

Ask Follow-up Questions

The AI remembers the document context, so you can ask follow-ups:

Large Documents

For very large documents, the AI uses intelligent chunking to focus on relevant sections. You may see tool blocks showing the analysis process.

For best results with large documents:

  • Ask specific questions rather than requesting full summaries
  • Reference specific sections when possible
  • Break complex requests into multiple questions

Connected Data Sources

Depending on your organisation's setup, PioneerChat may also have access to connected data sources like SharePoint. This means you can ask questions about documents you haven't uploaded - the AI can search your company's knowledge base.
